Amazon Seller Central Reports Guide: Which One to Use

July 11, 2026·EcomSanity Team·5 min read

Quick answer: Use Business Reports for traffic, ordered sales, sessions, and Featured Offer metrics. Use FBA inventory reports for current stock status and the Inventory Ledger for movement reconciliation. Use Payments reports for fees, refunds, and disbursements. Use FBA Customer Returns for reason and disposition, and Amazon Ads reports for campaign performance. Choose the report based on the business question and its date logic.

Seller Central contains dozens of reports. The hard part isn't finding data. It's knowing which report is authoritative for the question in front of you. A sales report answers demand. A settlement report answers money movement. An inventory snapshot answers current status. An inventory ledger answers how the balance changed. Mixing them creates arguments that no amount of spreadsheet formatting will solve.

Report names and menu paths can vary by marketplace and interface version. The question-to-report logic is more stable than the navigation.

Business Reports: demand, traffic, and conversion

Business Reports are the usual starting point for commercial performance, including Sales and Traffic by Date and Detail Page Sales and Traffic by Child Item, with metrics like sessions, ordered product sales, units ordered, and unit session percentage covered fully in the Amazon seller KPI glossary. Use them to answer whether traffic fell, whether conversion fell, or whether Featured Offer ownership changed. Don't use ordered product sales to reconcile a bank deposit, since orders can cancel, refund, ship later, and fall into different settlement periods, covered in more depth in why Amazon Seller Central numbers don't match.

FBA inventory reports: current position

The Amazon Fulfilled Inventory report gives a near-current snapshot of FBA inventory by SKU and status. The Reserved Inventory report splits reserved units into customer order, FC transfer, and FC processing categories, covered fully in Amazon reserved inventory explained. The Stranded Inventory report finds FBA units without an active offer. The Restock Inventory report gives Amazon's replenishment recommendations, worth treating as inputs, not purchase orders.

Inventory Ledger: how the balance changed

The Inventory Ledger is the best starting point when the question is "I had 500 units, Amazon says I have 437, and I can't explain the difference." Amazon's ledger provides summary and detailed views of beginning balance, receipts, customer orders, returns, removals, adjustments, and ending balance. Use the summary view to reconcile periods and detailed events to investigate specific movement. Common mistakes include comparing a snapshot from today with a ledger ending yesterday, ignoring disposition (sellable versus damaged), and treating FC transfers as sales or losses.

Payments reports: money, fees, and settlements

Payments reports answer financial movement through Amazon: order principal, referral and FBA fees, refunds, reserves, and disbursements. The bank transfer isn't the same as the month's sales, it reflects Amazon's settlement timing, reserves, and deductions. For accounting, use detailed transaction data reconciled to settlement statements and the bank. Business Reports are not a substitute for a payments ledger.

FBA Customer Returns: what came back

Use the FBA Customer Returns report for return date, SKU or ASIN, quantity, customer reason, and disposition. Read reason and disposition together, a customer may select "not as described" while the unit returns sellable, or state "no longer needed" but arrive damaged. Neither field tells the whole story alone. Use a cohort-aware return rate when evaluating a fee or product problem, covered further in Amazon return rate by ASIN.

Advertising reports: spend and attributed outcomes

The Amazon Ads console offers campaign, targeting, search term, placement, and purchased-product reports depending on ad type. Use them to see which search terms spent without sales, which targets converted, and which ASIN the shopper ultimately purchased, since advertising data can restate as attribution matures, covered in Amazon ads spending money but no sales.

A source-of-truth hierarchy

For demand and conversion, use Business Reports by ASIN. For shipped FBA units, use FBA customer shipment or fulfillment reports. For current FBA status, use Amazon Fulfilled Inventory. For movement reconciliation, use the Inventory Ledger. For money and accounting, use Payments transaction and settlement reports. For advertising, use Amazon Ads reports with attribution timing understood. No report is "the most accurate" for every question. Accuracy begins by choosing the right definition.

Eighteen thousand dollars, four small differences

A team spent two days investigating why June revenue in Business Reports was $18,400 higher than June bank deposits. The reports weren't broken. The comparison was. Some late-June orders shipped in July, refunds from May hit the June settlement, advertising and FBA charges reduced the transfer, and Amazon also held a reserve. Once the team used Business Reports for demand and Payments for cash, the difference became explainable. They stopped forcing one number to serve sales, accounting, and cash flow all at once.

EcomSanity automatically reads core data from Amazon's official SP-API and refreshes the console on a published schedule, reducing repetitive exports and joining related operating signals. Trust grows when a dashboard explains differences rather than pretending they don't exist.

Frequently asked questions

Which Amazon report shows sales by ASIN?

Use Detail Page Sales and Traffic by Child Item for ASIN-level ordered sales, sessions, units, conversion, and Featured Offer context, the same report used throughout the Amazon seller KPI glossary.

Which Amazon report should I use for accounting?

Use Payments transaction and settlement reports, reconciled with bookkeeping and bank records. Business Reports are designed for commercial performance, not final accounting, and shouldn't be used to reconcile a bank deposit.

Which report explains missing FBA inventory?

Start with the Inventory Ledger, then check current inventory, reserved, stranded, unfulfillable, shipment, and adjustment reports. The ledger reconciles beginning balance, receipts, orders, returns, and adjustments to an ending balance.
